A program groups several related projects under the same entity. A program always has one program manager and, if needed, deputy managers, and you can add its own members to a separate member list. This article explains how to manage program members, the program manager and deputy managers.

The Programs feature is a separate add-on that is included in Severa’s Enterprise edition. If you want to enable the add-on, contact Severas customer service.

Adding members to a program

You can view and manage program members in the Settings tab of the program, in the Team section. Add a member to a program as follows:

  1. Open the program and go to the Settings tab
  2. Open the Team section
    • The section shows the program manager and deputy managers as their own groups, as well as other program members
  3. Search for and select the person to be added in the member search field
    • The selected person is added to the list immediately, and no separate saving is required
    • Remove a member from the program by clicking the delete icon at the end of the member row.
    • Adding and removing members requires edit permissions to the program. If you only have view permissions to the program, the member list search field and delete icon are not visible.

Program manager and deputy managers

The program manager and deputy program managers are their own role among the program members, and they are shown in the Team section as a separate Program manager and deputy program managers group above the member list:

  • You define the program manager in the basic information of the program as one of the program fields, for example when you create the program or edit its details
  • You can select several deputy managers at the same time; the selection is saved automatically when you close the selector
  • The program manager and deputy managers are always visible in the Team section, and they cannot be removed with the same delete icon as regular members – you change them by selecting another person instead.

Programs are shown alongside projects also in the general project view, quick search and case history. This article explains where to find programs and how changes made to them are visible afterwards.

Programs in the general project view

The general project view has its own tab that shows only programs in a list format:

  1. Go to Projects > General view
  2. From the view’s tabs, select Programs
    • The other tabs in the same view are Gantt and List (projects)

On the Programs tab, each row is one program, and the list shows, among other things, the program number, name, default customer, program manager, start and end date, progress and hours. You can search and filter the list in the same way as the project list.

The Programs tab is visible only if the organization has a two-level project structure (Programs add-on) enabled and you have the right to view programs. If the tab is not visible, the general project view contains only the Gantt and List tabs.

Searching for programs with quick search

Programs are also included in quick search results alongside other objects, such as projects and customers:

  1. Open quick search from the top menu
  2. Enter a search term, for example the program name or number
  3. From the results, select the program you want
    • Programs can be identified in the result list by their own icon

Selecting a program from the search results opens the view of that program directly.

Case history

You can see changes made to a program in the organization’s case history (audit trail), in the same way as changes to other main objects such as projects. View the case history of a program as follows:

  1. Go to Settings > Tools > Case history
  2. Filter the list by object type and select Program
    • You can also filter the list by changed by and action type

The case history shows, among other things, the creation and removal of the program, changes to the program’s basic information (for example program manager, status, default customer, business unit, cost center and price list) as well as additions and removals of the program’s members and deputy managers.

The Case history feature is visible only if the organization has the Action history add-on enabled and you have the right to view settings or financial information.

History menu

The Case history menu in the top menu lists the objects you have viewed most recently, and programs are shown in this list alongside other object types such as projects and customers:

  1. Open the Case history menu from the top menu
  2. From the list, select a program you have viewed in the past
    • A program has its own icon in the list, which distinguishes it from other object types

The selection opens the view of that program directly. The history menu is updated automatically every time you open a new program, project or other supported object.
