Project plan tab defines the project structure (timeline and phases), adds the project group and allocates resources.

Details can be entered manually or copied from a project used as a template. You can select the information to copy (e.g., phases, advanced resourcing, pricing, fees) as needed. You can use multiple projects as templates for building the same project. An internal project cannot be used as a template for a customer project, nor can a customer project be used as a template for an internal project.

Project completion % is automatically calculated based on the ratio of actual and estimated hours. Completion can also be entered manually. Manual entry overrides automatic calculation. Automation resumes when the manually entered value is cleared from the field.

Hours and productivity breakdown

In the breakdown, you can quickly view:

  • Entered hours and their approval status (if work hour approval is enabled for the company).
  • Billable rate for all users and individual users as pie chart.
  • Team productivity.

Transferring work hour entries

You can transfer unreviewed and uninvoiced work hour entries from one project to another or from one phase to another by opening the total hours of the project, for example, from the Team productivity section under Hours, or from the Phases section by clicking the quantity of hours entered for the phase from the Done link:

  1. A list view of work hour entries opens
  2. Select the hours to be transferred from the checkbox
  3. Select the action from the top menu Select action > Change project and phase > Define new project and/or phase > Update

Transfer is also possible through reporting, for example, in the Hours list report. If the hours are approved or invoiced, transferring the hours is not possible. For transfer, the status of the hours must be updated from approved to unreviewed and/or the hours must be removed from the invoice, if editing the invoice is possible and allowed.

Phases

Done / Estimate

The section displays the quantity of entered and estimated hours. By clicking the Done link, you can view detailed information about the work hour entries. The hour estimate can be edited directly by clicking the field.

If phases have been created for the project, it is recommended that the hour estimate is entered for each phase. The estimates for the phases automatically form the total project estimate, which is visible in the Estimate section at the project level.

Members & activities

In the Members section, the project group is managed. Add or edit project members by clicking the person icon at the project level or phase:

  1. Click Add members
  2. Select new members or edit existing ones
  3. A new member can be added to all phases at once by clicking Add new members to all phases before adding

If you have added a member only to the project and want to add them later to all phases: click the person icon at the project level, hover over the user, click the three dots, and select Add as member to all phases.

The activities column compares completed and planned activities. By clicking the field, you can manage activities (edit, move, remove, done). When the schedule changes, you can drag and drop activities on the Project timeline.

Locking work hour entries

You can prevent or allow phase-specific work hour entries with the Lock icon (lock icon). If the lock is red, the phase is closed for work hour entries and the phase is not found when hours are entered in the Time & expenses view. Open the phase by clicking the lock icon, which turns blue.

The project level is always automatically locked when a new phase is created for the project.

Complete phase

Mark the phase as completed by clicking the green check mark on the right side of the phase. Completed phases are shown with a green background color. They can be hidden with the Show completed phases option.

Phase details

In the three-dot menu on the right side of the phase, you can view details and, for example, edit the timeline, set the default work type or phase code, and also add entries (hours, fees, travel expenses) from here.

Gantt

The Gantt view visualizes phases in the schedule. The time frame can be changed with the slider (Y, M, W, D). Project timelines can be edited directly by dragging.
