You can inactivate users but not delete them. This way all the history data is stored but the user is not able to login.

When a user is inactivated, their entries (e.g. work hours) will remain in the system.

Go to Settings > User management and search for the user. Click on the row to open the user’s profile. When hitting the Inactivate user button a confirmation window is opened and you can decide what to do with the user license: keep it or remove it from your subscription. You also need to end the users work contract.

  • When deactivating a user who has employees, you are prompted to select a new supervisor for those employees before you can continue.

  • When deactivating a user who does not have a supervisor (head of organization), you are prompted to select a new head of organization before you can continue.

  • When deactivating a user who is the current term of service approver, you are prompted to select a new terms of service approver before you can continue.

If needed you can report hours and for example flextime of an inactive user by creating a Users-report. Navigate to Reports > Report creation > Time & Expenses > Work hours > Users. From the right Filters and Values section set all necessary filters and values and remember to select Active/Inactive > Inactive to view only inactive users.
