In Severa, a user can be inactivated, but cannot be completely deleted. This way all the history data is stored, but the user cannot log in and the user license for the credential is released.
When a user is inactivated, their information such as work hour entries will remain in the system.
Select Settings > User management and search for the user. Click on the row to open the user's profile. When clicking the Inactivate user button, a confirmation window opens and you can decide what to do with the user license: keep it or remove it from the subscription. You also need to end the user's work contract.
-
If the user has subordinates, you need to select a new supervisor for these users.
-
If the user is not assigned a supervisor (head of organization), you need to select a new head of organization.
-
If the user is assigned as the terms of service approver, you need to select a new terms of service approver.
If needed, information of an inactive user can be reported, for example, with a Users report. Report creation is possible through page navigation Reports > Report creation > Time & Expenses > Hours > Users. Set the desired filters and information in the right-hand Filters and Values section, and select the filter Active/Inactive > Inactive to see inactive users.
