Regulation (EU) 2023/2854 of the European Parliament and of the Council on harmonized rules on fair access to and use of data (Data Act) required information about Severa data processing service.

Transferable and non-transferable data

Below you will find listed all categories of transferable data and digital assets that can be transferred during the exchange process in accordance with the Data Act, as well as all data categories related to the operation of the service that are not included in transferable data.

Transferable data

  • Customer data: Includes information such as customers' addresses, contacts, and market segments.
  • Project details: Includes information such as project schedules, phases, and contacts
  • Hour and cost entries: Includes information such as quantities, allocated project, approval status
  • Calendar entries, to-do’s, and project tasks: Includes information such as dates, times, and participants
  • Resource allocations: Includes information such as start and end times and persons to whom allocated
  • Invoices, draft invoices, and billable entries: Includes key information for billing

Non-transferable data

  • System internal log data
  • System settings
  • System machine-calculated key figures

Known limitations and technical obstacles to data transfer

Address data that is not linked to the customer's projects in Severa does not automatically appear on customer data reports. If the customer needs such address data downloaded from Severa, the customer must notify customer service separately.

How data is transferred

The customer can export transferable data primarily and independently directly using the Reporting feature of the Severa system. Data can be downloaded in Excel and CSV format. Data can be exported in Excel and/or PDF format.

Interfaces

The service has an open interface (API) that allows customers to use the service together with other cloud services used by the customer. Documentation of the REST interface can be found on our support pages

Disclosure of data to authorities

Police and other authorities may request access to data from us. This may include both personal data and other information. In all such cases, we follow strict internal policies and procedures when evaluating data requests and consult our legal advisors. We only share data if the law absolutely requires it, and only based on valid court orders or similar legal documents.

To prevent unauthorized access to the data we hold, we also implement technical measures such as encryption and access control. Visma's security program ensures high security and confidentiality.

Additionally, we ensure in contracts concerning our subcontractors that they also comply with similar organizational and security measures as we do.

If we receive data requests from authorities outside the EEA, we ensure compliance with Article 32 of the Data Act. Our internal policies and routines are in accordance with this regulation.
