In Severa, team productivity can be reported using the users’ share of billing. The calculation formula for the share of billing can be adjusted in the company settings under Settings > Key performance indicators (kpis) > Team productivity. The main user can define the basis on which the calculation is made:

  • Basis for employees’ share of billing: You can select whether the formula uses the quantity of hours entered by the user, the value of hours or the work costs as the allocation basis
  • Billing that is allocated to employees: You can select whether the total billing used in the formula includes hours, travel expenses, regular products, Own work and/or Subcontracting

Reporting the share of billing

The users’ share of billing can be reported using the Users report. The report can be found under Reports > Report creation  either via Financials > Employees > Users or Time & expenses > Hours > Users.

  1. Define the report filters: Define the time frame from which you want to filter Financials to be shown, select the business unit and users if needed, and select Other filters from Other filters > Select filters
  2. Select the desired values for the report: Select the desired share of billing values for the report from Values > Select values
  3. Save the report: Remember to save the report for later use by clicking the Save as  button.

Values and their formulas

Share of billing

  • Share of billing means the billing that is allocated per employee. The share of billing is calculated for all company employees using the same formula, and the formula is based on the values selected in Settings > Team productivity. The share of billing can also be edited manually per project in the Team productivity section of the work. This is usually done when the project ends, if the share of billing needs to be adjusted.
  • Formula: (Quantity of hours entered by the user OR Value of hours entered by the user OR Cost of hours entered by the user during the period) / (Total quantity of hours entered on the project OR Total value of hours entered on the project OR Total costs of hours entered on the project during the period) * (Project total billing during the period based on the values selected in the Team productivity section (Hours, Travel expenses, Regular products, Own work, Subcontracting)).

Share of billing over time

  • The Share of billing over time value can be used to retrieve the share of billing for a desired time frame so that the system takes into account the time frame selected in the Finances over time  filter when displaying the data. This is useful in cases where work hour entries are recorded, for example, in different months than the invoice.
  • Formula: Share of billing, filtering the data within the time frame selected in the report’s Finances over time filter.

  • Formula: Share of billing / Quantity of hours entered by the user.

Share of billing based on value

  • The most popular of these is based on value. When the basis for the share of billing is the value of hours, the billing is allocated per employee based on the value of the hours entered on the project.
  • Formula: User’s hours entered on the project / Hours entered on the project * Project billing based on the settings defined in the Team productivity section.

Share of billing based on costs

  • When the basis for the share of billing is the cost of hours, the billing is allocated per employee based on the internal cost per hour of the hours entered on the project.
  • Formula: (Total costs of the hours the user has entered on the project) / (Total costs of the hours entered on the project) * (Project billing based on the settings defined in the Team productivity section).

Share of billing based on work hours

  • When the basis for the share of billing is the quantity of hours, the billing is allocated per employee based on the quantity of hours entered on the project.
  • Formula: User’s hours entered on the project / Hours entered on the project * Project billing based on the settings defined in the Team productivity section.

Employee margin

  • Formula: Project margin * User’s share in percent.

Employee margin over time

  • The Employee margin over time value can be used to review the margin for a desired time frame so that the system takes into account the time frame selected in the Finances over time  filter when displaying the data. This is useful in cases where work hour entries are recorded, for example, in different months than the invoice.
  • Formula: Margin, filtering the data within the time frame selected in the report’s Finances over time filter.

Employee sales margin

  • Formula: Project sales margin * User’s share in percent.

Employee sales margin over time

  • The Employee sales margin over time value can be used to review the sales margin for a desired time frame so that the system takes into account the time frame selected in the Finances over time  filter when displaying the data. This is useful in cases where work hour entries are recorded, for example, in different months than the invoice.
  • Formula: Sales margin, filtering the data within the time frame selected in the report’s Finances over time filter.
