Work hours -view

In the Hours section's work hour entry view, you can easily add different types of entries and review previously made entries. By default, when you enter the view, the current week's days are displayed, and the current day is selected. Navigate between days using the control bar at the top of the view:

  • Return to the current day by selecting Today

  • Change the day by selecting a date from the calendar

  • Move forward or backward one week at a time using the week selector's arrow buttons

  • Using the Complete day function, you can mark the day as completed and close it from edits

On the right side of the section, you see Youroverview and Highlights, which are created based on the entries you have made. If flextime is enabled, you will see your current total flextime on the right side of the day view.

Add entries

Add new work hour entries, absences, expenses, or payment installments from different parts of the system:

  • Through the general button in the upper right corner by clicking Add new

  • In the day/week view at Add work hours

  • Add absence or Add expense in the day/week view from the three-dot action menu

  • If no entry has been recorded for the day, record the expense directly from the day at Add work hours

  • Using the Copy previous day function, you can speed up the recording of hours and bring the previous day's entries to the desired day

See detailed instructions for making entries:

Notes

The system displays notes in the day-specific view that may affect making entries or are good to note:

  • You have exceeded the daily flextime limit: You have recorded more hours than your allowed daily quantity of hours. The exact allowed quantity of hours is displayed with the note. You need to correct your entries to stay within the allowed limit.

  • This day is closed for work hours or expense entries: You cannot add or edit work hours for this day because the entry period (e.g., month) is closed, usually due to payroll. Contact the administrator to open the closed entry period.

  • No work contract found for this day: You cannot record hours for the selected day because, according to the system, you do not have a valid work contract on that day. Contact your supervisor to verify the status of the work contract in Severa.

  • Day completed: The day is marked as completed and closed from edits. You can open the day to add new or edit existing entries.

Frequently asked questions

Q: I entered an expense, but it does not need to be reimbursed to me. What should I do?
A: When adding or editing the expense, click No reimbursement required. This way, the expense will not be transferred for payment as an expense reimbursement.

Q: I can't record hours. Why?
A: Check if there is a note for the day This day is closed for work hours or No work contract found for this day. Also, check with the project manager if the phase you are trying to record hours for is locked from work hour entries. These can prevent recording. If the issue persists, contact your supervisor or the company's administrator.

Q: How do I record an all-day absence?
A: When adding or editing an absence, turn on the Allday selector. Then you only need to define the absence start and end dates. The quantity of hours for an all-day absence is the same as the daily quantity of hours on your work contract, and the system does not account for absence hours exceeding this quantity, for example, in total flextime.
