Billing

In the billing view of the Invoices section, you can easily track and manage your customers' invoices. The List view displays all invoices that meet the filter criteria, sorted by default based on the invoice number. By default, the view shows 20 invoices, but you can modify the selection using the Per page option next to the page selection.

You can make changes to invoices in bulk by selecting the checkbox on the left side for the desired invoices, which opens the Select action window at the top. By clicking the header-level checkbox, you can select all invoices visible on the list/page. After selecting an action from the dropdown menu, you can apply the changes by clicking the Upgrade button. Some actions require additional information, such as the invoice status for the task-specific change.

You can open an invoice for review by clicking the invoice number or status if the invoice does not yet have a number. See detailed instructions for creating and handling invoices:

Search function and filters

At the top of the view, you can search for invoices using the search function. Start by typing, for example, the invoice number or billing customer name into the search field, and the system will automatically display the corresponding results.

Filter the view with the desired information by selecting the desired search criteria from the Filters section. Filters define which invoices are displayed in the view. Selected filters remain in effect until they are changed again. Clear the filters if desired by clicking Clear All.

Tip! Can't find a specific invoice in the view? Always check the billing view filters first. If a specific day or month is used as a filter, and the invoice date is in a different period than the defined filter, the invoice will not appear on the list. So always check the filters first, and then search for the invoice through the project if it is still missing.

KPI insights

At the top of the view, you can examine insights related to invoices. Show insights by clicking the toggle switch Show KPI’s. See below what the readings tell:

Frequently asked questions

Q: Why can't I edit invoice rows or preferences?
A: If the invoice status is paid, is sent, or credited, or if you do not have sufficient permissions to edit the invoice status, the fields are locked. You need to return the invoice to a status that allows editing (e.g., Draft).

Q: How do I delete an invoice?
A: If the invoice has not yet been sent or paid, and the preferences allow deletion, you will find the Delete invoice function in the invoice editing view under the three-dot menu. Please note that deletion cannot be undone, and credit notes cannot be deleted from the system under any circumstances.

Q: Can I add free text to the invoice?
A: Yes. The invoice view has text fields Free text before rows and Free text after rows. You can write additional information in these and use the desired formatting.
