Expand standard price lists with Advanced pricing add-on. When this add-on is enabled it will be possibile to increase price list prices by percentage or by fixed amount and create volume priced price lists. We recommend this add-on for all the companies who have the need to increase their prices regularly and/or whose price lists consists of many individual rows causing a situation where manual updating of prices is a huge amount of work. Instead of editing each individual price row manually Advanced pricing add-on allows users to update prices with only few clicks. Severa has two types of price lists; company's price lists (in settings) and custom price lists (on cases). Increasing of prices by percentage or by fixed amount can be done to both of these price list types. Price lists located in settings are increased by editing the price list and custom price lists are increased by using the mass update tool on Cases-report. Also decreasing is supported.
Rules of increasing/decreasing the prices:
- Price list rows that have either empty or zero value are not affected by the price update
- Products that get the price from product register are not affected by the price update
- When updating with fixed amount, enter a positive value to increase (such as "10") and negative value to decrease (such as "-10).
- When updating with percentages, the range is -100 to 1000%
- When updating with percentages, possibility to choose if prices are rounded to next integer or two decimals
- User can choose what types of items are updated (Work hours, Travels and Products)
- Volume priced products can be increased
- Flat rates cannot be increased
To increase or decrease prices of company's price lists go to Tools > Settings > Price lists. Click the pen icon in front of the price list you wish to update and then click "Price increase". From the dropdown choose first if you wish to update prices by fixed amount or by percentage.
When updating prices with fixed amount you can choose which type of items are affected (Work hours, Travels, Products). Prices will be updated for the affected items visible on the price list. If some of the prices are not updated, review the rules of price increase.
Examples of increasing with fixed amount
Price list has following prices for work hours: Default price is 100 €/h, work type Planning is 90 €/h and work type Internal work is 0 €/h. User increases Work hours prices by 10 euros. After increase Default price is 110 €/h, Planning is 100 €/h and internal work is 0 €/h.
Price list has following prices for travels: Mileage, Own car is empty, Daily allowance is 50 € and Taxi is 0 €. User increases Travel expense prices by 10 euros. After increase Mileage, Own car is empty, Daily allowance is 60 € and Taxi is 0 €. Note: When the price field is empty, the price comes from travel expense settings.
Price list has following prices for products: Billing fee is 5 € and Training day is 1500 € (from product). User increases Product prices by 10 euros. After increase Billing fee is 15 € and Training day is 1500 € (from product).
When updating prices with percentage you can choose which type of items are affected (Work hours, Travels, Products) and how the updated price should be rounded (to integer or to two decimals). Prices will be updated for the affected items visible on the price list. If some of the prices are not updated, review the rules of price increase. When updating with percentage, the mathematical formula is X + (X*Y/100), where X is the price and Y is the percentage.
Examples of increasing with percentage
Price list has following prices for work hours: Default price is 100 €/h, work type Planning is 90 €/h and work type Internal work is 0 €/h. User increases Work hours prices by 10 % and rounds to nearest integer. After increase Default price is 110 €/h, Planning is 99 €/h and internal work is 0 €/h.
Price list has following prices for travels: Mileage, Own car is empty, Daily allowance is 50 € and Taxi is 0 €. User increases Travel expense prices by 10 % and rounds to nearest integer. After increase Mileage, Own car is empty, Daily allowance is 55 € and Taxi is 0 €. Note: When the price field is empty, the price comes from travel expense settings.
Price list has following prices for products: Billing fee is 5 € and Training day is 1500 € (from product). User increases Product prices by 10 % and rounds to nearest integer. After increase Billing fee is 6 € and Training day is 1500 € (from product).
Increasing or decreasing prices of custom price lists or case specific work hour prices is done using mass update tool on Cases -reports. Only users with case owner -type of access rights are able to the price increase. With the mass update tool only work hour and product prices can be increased or decresed and updates will only affect cases with custom price list or case specific priced work hour rows.
Open Cases -report, for example Browse > Open cases or New > Report > Cases. Filter the report, to get the list of cases you wish to update. Use for example filter "Price list:Custom" to show only cases with custom price lists. Notice, that if you wish to update case specific work hour prices (case has a company's price list, but some prices for work hour have also been manually added into the case's pricing) use the filter called "Case specific work hour pricing:Yes" on the report.
In front of each row of the report is a mass update column (checkboxes). The cases that have the checkbox visible and marked are updated when "Update" button is clicked. Cases that have the checbox visible and not marked are not updated. Cases that don't have checkbox visible at all cannot be updated by you. The reason can be for example that you don't have enough access rights or the case doesn't have a custom price list.
Actual increasing and decreasing of prices works similar way via mass update tool as directly on a price list. Prices can be updated by fixed amount or by percentage and when updating with percentage, user can choose if prices are rounded to nearest integer or into two decimals. When clicking "Update" the price is updated To see the changed prices, open a case > go to pricing section and review prices.
To increase prices of products in product register, go to Tools > Settings > Products. Below the list of products is a "Price increase" section. Prices of products can be updated by fixed amount or by percentage.
Clicking into the search field opens a menu of products. You can add a group of products by clicking the product category name or alternatively select one product at a time. Typing a part of the product name or product category name into the search box will filter the list to help in finding the correct products.
After selecting the products, choose to increase prices by fixed amount or percentage, then enter the amount and click Save. Prices of selected products are now updated. Notice that if price of product is 0, it will not be increased.
Create new versions of existing price lists. For example if company decides to raise their customer prices at the beginning of next year, a new version can be created before hand and it will be valid starting from the 1st day of January next year. While creating the new version pricing can be build from scratch or old price list can be used as a basis for the new. When copying the rows from the old price list, prices in the new version can be increased by fixed amount or percentage.
The prices in the old price list are used normally on cases until the start date of new price list occurs. There is no need to do changes on the case, new version is automatically taken into use when start date occurs. At this point, uninvoiced work hours and travels entered before the start date of new version will still have the price of the old price list and are invoiced using the old prices. If the start date of the version is selected for the current day and hours and travels have been entered earlier the same day, then prices of those entries are updated according to the new version. Prices of uninvoiced products are never updated.
To create a new version go to Tools > Settings > Price lists. Open existing price list and click the "+" icon at the top of the price list.
Enter a start date from which the price list is valid from. Then choose if you wish to copy rows from existing price list. If you wish to create a new empty price list and define rows manually, choose "Not selected".
If existing version is used as basis for the new, it is possible to increase the prices of the rows at the same time. Choose "Not selected" if there is no need to increase prices. Increasing the prices can be done in percentages or as in fixed amount. The process is the same as higher in this article where price increase of price list is described in more detail.
Once the new version is created, you can see each version at the top of the price list. Price list versions can be deleted or the start date of existing version can be changed.
With volume pricing you can create a pricing that is based on the quantity of entered products. When invoice is created, the system looks up the total amount of volume priced products per product and gives the price based on the definitons in the price list.
For example: Following volume prices have been defined in the price list: 1-2 products get the price of 10€ and 3-8 products get the price of 20€. When invoice is created, 5 products was found and on the invoice unit price 20€ is shown.
Go to Tools > Settings > Price lists to add, edit or delete price lists.
To add a volume price list, start by entering a name for the price list. If multi-currency add-on is also active, choose the currency to be used on the price list and then choose "Volume" as type for the price list.
Define prices for work hours and for travels similar as in regular price list.
Start entering volume prices for products by selecting the correct product from "Create pricing to" field and click "Add".
Click pen icon in front of the product to define volume prices for the product.
The field "Quantity" defines the steps for volume pricing. A price is entered in "Price" field. If Price is left empty, price of the product in Product register is used. Click "New row" button to enter more pricing rules for this product. In the Quantity field enter the amount of products that starts the new price. Individual price row can be deleted by clicking Delete button at the end of the row and the whole volume pricing for certain product can be deleted by clicking "Remove volume pricing".
When ready, click Save to save changes made for the product.
You can create a custom volume price list for a certain case to specify case specific volume pricing rules.
On the case page, edit the pricing-section and choose "Custom volume price list" from the Price list menu. Add volume pricing rules for products and save price list.
When products that belong to volume pricing are added to a case, user can see which products belong to regular pricing and which to volume pricing.
When adding the volume priced product, unit price cannot be edited. All other fields are freely editable. Once the product is added to the case, it will display a unit price that comes from the volume pricing.
Once the product is added to the case, it will display a unit price that comes from the volume pricing. If the product is edited, unit price is shown as read-only. When more of the same products are added to the case, the unit price will update itself when the amount of products goes up in the volume pricing. When invoice is created, there can be many different entry's of the same product, but they all have the same price, which comes based on the total number of products at the time of invoicing.
After invoicing the existing billable products, volume pricing rule starts again and when a new product is added to the case, it will get the price starting from the beginning.
