How to: Enter work hours

  • Some features described below are only available when the Advanced time tracking or Activity management add-ons are in use.

In brief

The work hour entry form is where employees enter, save, review and edit work hours. It's possible to view the work hour entry form for a single day or the whole week, and the entry method is similar with only slight variations described below.

Day view

  1. Go to New > Work hours.
  2. If not already selected, click the Day view link on the right at the top of the work hour entry table.
  3. If entering hours for a day other than today, click to select the date on the calendar.
  4. Click the Select case field to display a drop-down menu listing all cases in which the employee is a member. Click to select a case, or start typing the name of a case to delimit the list and then select. And, if the employee isn’t yet a member of a particular case, click Join a case to become a member of the case and enter hours.
  5. The next field automatically displays the default Work type for the company, case or person. If you wish to enter a different work type, click to open the drop-down menu and click to select a different option. Travel expenses and Products can also be selected for entry through this drop-down.
  6. In the next field, type the number of Hours worked for that case. If using the Advanced time tracking add-on, it's possible the entry requires the Start and End time instead (as specified by the system administrator through Tools > Settings > Time tracking options).
  7. In the next field, type to enter a Description of the work.
  8. If using the Advanced time tracking add-on, another field may appear with the default No overtime displayed. Click to open the drop-down menu and click to select a different Overtime option as necessary.
  9. If using the Activity management add-on, activities for the selected day will display below the work hour entry table. Click the Plus icon in front of an activity to add it as a work hour entry. Case and work type information may may need to be selected.
  10. Finally, Save or Save and close the day.

Week view

  1. Go to New > Work hours.
  2. If not already selected, click the Week view link on the right at the top of the work hour entry table.
  3. If entering hours for a week other than the current week, click to select any date from that week on the calendar.
  4. Click the Select case field to display a drop-down menu listing all cases in which the employee is a member. Click to select a case, or start typing the name of a case to delimit the list and then select. And, if the employee isn’t yet a member of a particular case, click Join a case to become a member of the case and enter hours.
  5. The next field automatically displays the default Work type for the case. If you wish to enter a different work type, click to open the drop-down menu and click to select a different option.
  6. In the next field, type to enter a Description of the work.
  7. Next, identify the field for the correct day of the week and type the number of Hours worked for that case.
  8. Finally, Save. Or click to mark the checkbox Week is closed and then Save.

It's also possible to use the work hour entry element on the Dashboard (same as the Day view on the work hour entry page) or the Stopwatch.
