Administrator access rights may be required to perform some or all of the following steps related to Case status.
Case status is a project management tool that helps you identify and track cases in your project portfolio. You’re able to tag projects with an icon, status name and a brief description, making it easier for you and other team members to see and understand a case’s standing.
Case status may be used throughout a project to denote progress, or only occasionally to mark special situations or unique developments. For example, preset statuses include Top performer, On hold, Under construction and Back on track. And, after selecting the status, the user may add a short description with further details.
Case status within a case
Case status is found at the top of every case. The section title bar Case status may be expanded or contracted using the arrow to the left to reveal or conceal the status. Once expanded, the status may be selected by clicking on the drop-down menu, and selecting one of the preset statuses. If the status has already been set and you wish to change it, double click on the current status icon to open and select a new status from the drop-down menu.
Details or comments may be added to further explain the status by clicking on the text Click to insert description to the right of the status icon.
Changes to a case’s status are logged in the Status history. Click on the Status history link to open a pop-up window which lists recent changes and descriptions by date, and includes the name of the person who made the changes. Close the Status history window to return to the case page.
Case status in Settings
Click onin the top menu, and then in the Case section click on Case statuses.
Select an icon from the Icon drop-down menu, and click in the Name text box to enter a status name for that icon. Then, click Add to save the new status. Click on the Edit icon to the left of a status to change the name of a preset status, and click Save.
Click on Disable to make a status unavailable from the status drop-down menu in cases, and Activate to restore it. Once a status is disabled, it’s possible to click the Delete icon to completely remove the status from the list. A deleted status can be recreated or the icon can be used with a new name.
Case status in reports
Case status is available as a filter or part of the search results in Power reports. Click on Power reports in the top menu. If it’s not selected already, click to select Cases from the row of reports at the top.
The fastest way to find cases with a particular status, say Needs attention is to use it as a Search filter. Click the Select filter drop-down menu, and scroll down to click on Case status. Then select the status or statuses you’d like to find, and click Search.
If you’d like a more complete listing of cases, with and without statuses, double click to move Case status from the left to the right search result column so it will be displayed in the report. And, click Search.
Reports that include Case status can be saved, named and inserted onto the Dashboard for quick reference. This makes it easy to stay on top of cases with a particular status, and ensure they are handled properly.
